How to cut repetitive support tickets in half with an AI assistant

The step-by-step playbook we see working across hundreds of teams: pick the right docs, train on real questions, and measure deflection honestly.

How to cut repetitive support tickets in half with an AI assistant

Every support inbox has the same shape: a long tail of unique, interesting problems — and a fat head of the same twelve questions, asked hundreds of times a month. “How do I reset my password?” “Where’s my invoice?” “Do you integrate with Slack?”

Those twelve questions are where an AI assistant earns its keep. Not by being clever — by being available, instant, and consistent. Here’s the playbook we see working across teams of every size.

1. Start with the docs customers already trust

The biggest mistake teams make is training on everything at once. Internal wikis, stale PDFs, three-year-old release notes — more isn’t better, it’s noisier. Start narrow:

  • Your help center — it’s already written to answer customer questions.
  • Billing and account FAQs — the highest-volume, lowest-risk category.
  • One product handbook — the canonical “how it works” document.

You can always add more. But a small, clean knowledge base produces confident, citable answers from day one — and trust compounds.

2. Make citations non-negotiable

An answer with a source is support. An answer without one is a guess. When your assistant links every claim back to the page it came from, two things happen: customers trust it faster, and your team spots wrong or outdated docs immediately.

“The citation layer made our product team trust the answers immediately. When something’s wrong, we fix the doc — not the bot.” — Jon, Product Ops

3. Design the handoff before you need it

Your assistant should know its limits. Set a confidence threshold below which it says the honest thing — “I’m not sure, let me get a teammate” — and routes to a human with the full conversation attached. Customers don’t punish AI for escalating; they punish it for bluffing.

4. Read the knowledge gaps report weekly

The questions your assistant couldn’t answer are the most valuable output of the whole system. They tell you exactly which doc to write next — and often, which product rough edge to sand down. Teams that review gaps weekly see resolution rates climb month over month without touching a model setting.

The result

Run this loop — narrow docs, citations, honest handoffs, weekly gap review — and the fat head of repetitive tickets shrinks fast. Most teams see 40–60% of conversations fully resolved by the assistant within the first month, with CSAT holding steady or rising.

Your support team didn’t sign up to answer the same twelve questions forever. Let the assistant take those — and give your humans the interesting problems.
